Daylight saving time shifts can be a headache when managing events, especially if you have attendees that span across different time zones. Who can even be sure when daylight saving time is and when standard time is?
With the upcoming daylight savings change this weekend, it’s the perfect time to ensure your event planning and event marketing are prepared for the transition. At AddEvent, we make managing your calendar and event scheduling needs easy, including automatic adjustments for time changes.
Let’s dive into how to handle daylight saving time changes smoothly and keep your events running without a hitch!
As clocks spring forward or fall backward, the time of day shifts by an hour, which can lead to confusion and disruptions if event times aren’t adjusted accordingly. If you’re unprepared, attendees could miss events or join late, leading to frustration and poor engagement.
Here are a few ways daylight saving time changes can impact events:
Cross-Time Zone Coordination: For global events, time changes can disrupt scheduled start times for attendees in different regions. Keep in mind that not all countries have daylight savings time changes on the exact dates, causing extra confusion when you add in the time change in conjunction with time zone changes.
Increased No-Show Rates: When calendar event times don’t reflect local time changes, attendees are more likely to miss out.
Logistical Confusion: Coordinating team meetings, webinars, and other live events becomes more challenging if the time difference isn’t communicated clearly.
By using AddEvent, you can mitigate these challenges by setting up your calendar events to reflect time changes automatically. Here’s how to manage these time shifts with ease.
When you create an event with AddEvent, time zone detection ensures that each attendee views the event at the correct local time. This feature becomes especially valuable during daylight saving time shifts, as AddEvent’s time zone detection automatically accounts for regional time changes.
For example, if you schedule a webinar at 10:00 AM PDT (-7 UTC time), it will adjust to reflect DST in different time zones, ensuring your attendees don’t have to wonder if the event starts an hour earlier or later. This is the same for Daylight Savings changes – AddEvent automatically considers a viewer’s time zone and if daylight savings changes will occur.
You can set and edit your time zone in AddEvent in two ways. You can place a default time zone on your AddEvent calendar, automatically setting all events created on that calendar to that specified time zone. Or, you can edit an individual event’s time zone.
In the dashboard, click on the event you want to update and click Edit. If you create a new event, the steps will be the same. You will select the time zone for the event from the dropdown menu.
The time zone can be removed. However, we recommend removing the time zone only if you want the event to occur simultaneously for everyone, regardless of their time zone. This is useful for events like reminders.
The time zone you set for the event will adjust based on the viewer’s IP location. The time shown on the landing page is adjusted visually, but the event will be added to their calendar in the correct time zone.
If the event time looks incorrect on the landing page, it will still be added correctly to the user’s calendar based on their local time zone. Daylight Savings time is automatically applied to all events with a timezone.
With AddEvent, you can send automated event reminders that factor in daylight saving time or other time zone changes. Reminders allow you to communicate clearly with attendees, ensuring they remember the adjusted time.
Set up email reminders or push notifications in advance to account for the timing transition. When attendees add the event to their calendars through AddEvent, the reminders adjust to their local time, helping avoid surprises.
Time changes shouldn’t disrupt your events. At AddEvent, our tools ensure that all daylight saving time changes are accounted for, so your events are always at the right time for every attendee. With time zone detection, reminder adjustments, and automatic calendar updates, managing events around daylight saving time is simpler than ever.
Make sure your events are daylight-saving time-proof by planning with AddEvent’s intuitive calendar and event tools!
