How to Use RSVP Buttons with HubSpot Email Marketing rsvp button

Updated Dec 6th, 2024 by Camella Bridges

AddEvent’s tools enable you to easily insert an RSVP button into a HubSpot marketing email campaign. It’s as simple as creating an event in AddEvent, logging into your HubSpot account, inserting a new HTML content block in your HubSpot marketing email, and then inserting your custom RSVP button code.

Adding an event RSVP button to your HubSpot invitation email lets you take advantage of some great features, including:

  • Keeping track of who’s coming to your event with RSVP event tracking
  • Collecting your attendee’s name, email address, and other custom fields. This could be anything like upcoming event interest, questions for the hosts, or other fields you would like to capture to update contact fields in your HubSpot CRM. You can do all of this with an RSVP response form!
  • Supplying each event with a unique RSVP event landing page.
  • Sending attendees confirmation emails as well as event reminders before the event takes place – which in turn improves attendance rates.

In this blog article, we’ll show you how to add an event RSVP button to your HubSpot event invitation emails in just a few easy steps.

How to add an RSVP button to your HubSpot email marketing campaign

  1. First, create or log in to your AddEvent account.
    • Sign up for an AddEvent account if you don’t already have one. Choose from our free Hobby plan or one of our paid plans, which come with lots of additional features. Learn more about our plans on our plans and pricing page.
  2. Now, it’s time to create your event in AddEvent and enable RSVPs.
    • Navigate to the dashboard in your AddEvent account.
    • Then, click the “Create” button, and select “Event”.
  • Enter your event details, including the event name, time, date, location, description, etc. Then click the “Create” button to publish the event landing page.
  • Select the checkbox next to “RSVP” to enable RSVP collection for this event.
  • To collect additional information using custom fields, select your previously created RSVP form using the drop-down next to “Standard RSVP.”
  1. To customize a new RSVP response form, go to the event details page > RSVP and settings > Click on “Custom RSVP forms.”

    1. Once on the Custom RSVP forms page, click “+New Form” and create and save your RSVP form with custom fields as desired.
      1. You can decide if you want these RSVP response fields to be required or optional – keep in mind the more required fields you have, the fewer form submissions you’ll receive.

Try to keep the friction points low for your attendee engagement – this is key to keeping your click-through rate high and getting as many form submissions as possible.

Once your event has been created and your RSVP form has been applied, it’s time to set things up in your HubSpot account.

  1. Sign in to your HubSpot account.
    • Head to the “Marketing” tab to start a new email campaign, or select your existing event invitation email draft to work on.
    • If you’re working with a draft, click your event invitation email  and select “Edit design.”
  1. Add the RSVP button to your HubSpot event invitation email using the following steps.
    • Under the “Add” section on the left side of your screen, you can search for “HTML – Email” modules and then drag and drop the module into the space in your design where you want the RSVP response button to live.
  • Then, head back to your event details page in the AddEvent dashboard
  • Once there, scroll down to the “RSVP button” section.
  • You can either use one of the pre-formatted buttons or customize your RSVP button to match your company’s branding when you select the “New” button at the bottom of the box. There, you can change the button’s shape, color, size, etc.
  • Once you’ve saved the configuration you want to use for your RSVP button, you need to copy the HTML code via the “Copy” button at the top of the box or the “<>” button at the bottom.
    1. We recommend using the  “<>” button at the bottom to copy the RSVP button HTML code, as some email marketing automation tools, such as HubSpot, have issues with the “Copy” button.
  • Now, it’s time to copy and paste that code into the HTML block in your HubSpot marketing email. A black box will appear at the bottom half of your screen, where you will copy and paste the entire code.
  • The RSVP button for the event will automatically appear in the email preview. You can use the additional settings in the control panel on the left to customize how the RSVP button looks in your HubSpot invitation email. This will function as your “register button.”

And that’s it — you’re good to go! The RSVP button for your event has been added to your HubSpot email and your RSVP event tracking is now set up! Your guest’s RSVP response will show in your AddEvent RSVP event details page. Make sure you test the links before sending the campaign to your audience. Looking to get your RSVP response data back into HubSpot?
